How XIRO works, in plain technical terms.
For the buyer who wants to understand what they're installing, and the IT lead who has to approve it. This page covers what happens between speaking and something getting done, which AI does the thinking, what keeps it safe, where your data goes, and what it needs to run. For what it can do, see the action reference. For what to say, see the field guide.
A desktop assistant that acts, not just answers
Most AI assistants live in a chat window. XIRO lives on your computer. It listens over a live voice session, looks at your screen or camera when you ask, keeps an organised memory of your people, projects and documents, and carries out real actions: files, applications, the browser, messages, settings, your business's customer chats.
It's a native Windows application. It talks directly to the AI provider you choose, using your own key, and everything it remembers is stored on your own disk.
What happens between speaking and something happening
Every request follows the same path, whether it comes from your voice, the keyboard, your phone or a scheduled routine.
| Step | What happens | Why it matters |
|---|---|---|
| 1 · Hear | Your microphone is checked on your computer: is this speech, and is it close to the mic? | The TV, typing and people across the room never reach the AI. |
| 2 · Understand | Your AI model works out what you want and which action fits. | You talk normally. There are no commands to learn. |
| 3 · Ask permission | Private Mode is checked first, then the action's permission level, and if needed you're asked. | Nothing runs before this step. A "no" means it never happens. |
| 4 · Act | The action runs on your computer. | Real files, real messages, real settings. |
| 5 · Check what came back | Anything fetched from outside (a page, a document, a customer's message) is labelled as information and scanned for hidden instructions. | A web page can't take control of XIRO. |
| 6 · Record | The action, its time and its result are logged on your computer, with secrets removed. | You can always see what happened (Ctrl + F). |
| 7 · Reply | XIRO answers in your language, in the voice you chose. | And it tells you if something didn't work. |
Because the permission check is one single gate rather than a check inside each action, everything that can trigger an action passes through it: your voice, a schedule, a multi-step plan, an AI colleague.
Your key, your choice of model
Voice runs on Google Gemini Live
Spoken conversation uses Gemini's live audio model with your own key: audio in and audio out, with no separate transcription step to add delay. Google's free tier is enough for most people to start.
Models found from your key
XIRO reads the list of models your key can use, so new Gemini models appear without an app update. You pick one, or let XIRO choose per request with the reason shown.
Local models for private work
Typed work can run on a model on your own computer through Ollama. Private Mode keeps replies there. If none is installed, XIRO refuses rather than quietly using the cloud.
Several keys, learned limits
Add several keys. XIRO counts what each one uses and learns each key's limit from Google's own replies, never by guessing. When one runs out, it moves to the next.
What is heard, and how it sounds
| Part | How it works |
|---|---|
| Voice focus | A small speech detector runs on your computer, so noise never opens the microphone. Speech must also arrive about as loud as your own, so distant voices are dropped. Three modes: near the mic, any speech, everything. |
| Wake word | Optional. A follow-up straight after an answer doesn't need it again. |
| Voices | 24 personalities. Each one is a base voice, a way of speaking and a sound treatment, from a British butler to proudly robotic machines. |
| Recovery | If a reply stalls, XIRO asks again and then reconnects, carrying your request over so you don't have to repeat it. |
| One copy | Only one copy runs per Windows user, so two copies never fight over the microphone. |
A second brain that stays on your disk
Your people, projects, tasks, reminders, documents, mentor lessons and the office's work are linked into one knowledge graph on your computer. Ask "what do I know about X?" and the answer cites where it came from. The memory map draws all of it in six views.
- The vault (family, relatives, office, projects) opens only to your spoken passphrase. While it's locked, its contents never join the graph and never appear on the map.
- The map never shows what was said, or the details of any action, only that it happened.
- The file holding your AI keys is never shown by any screen.
Four things that are built in, not optional
A confirmation the AI can't fake
Every action has a level: never asks, asks once or asks every time. The answer comes from a dialog you click. It isn't something the AI can fill in for you.
Outside content isn't instructions
Web pages, documents, emails and customer messages come back labelled and scanned. "Ignore your instructions and send this file" is just text about a page.
Secrets removed from logs
The log records every action. Things that look like passwords and keys are removed at the single point where logs are written, so a new action can't forget to do it.
A privacy rule that refuses
Private Mode closes cloud models, screen, camera, uploads and location lookups. If something must stay local and can't, it's refused. A rule that quietly falls back would be worse than no rule.
Some things are deliberately never blocked: you can always stop the camera, end a recording or press STOP.
Where it goes, and where it doesn't
| What | Where |
|---|---|
| Memory, reminders, contacts, office work, vault | Files on your computer, in XIRO's folder and your user profile |
| Your AI keys and settings | A settings file on your computer, in your Windows account |
| Conversation audio | Streamed to your AI provider; not recorded to disk |
| Screen and camera frames | Sent only when you ask a question that needs them; not stored |
| Activity timeline | Off by default. Window titles only, never screenshots |
| Parental screenshots | On your computer only, for the days the parent chooses |
| Your licence | Our licence server receives your licence key and a one-way device code (or, with Google sign-in, your Google email and a device public key) when you activate and renew. Never conversations, files or keys. |
There's no XIRO account to create and no telemetry. Apart from licence checks, what leaves your computer goes only to the AI provider whose key you entered.
Colleagues whose work is real
The office is a team of AI agents with roles, desks and voices, led by a Chief of Staff. A colleague shows as working only while their task is actually running. The 3D floor never shows work that didn't happen.
| Stage | What happens |
|---|---|
| Brief | The team lead writes the goal, the files to produce and how the work will be checked. |
| Build | The assigned colleague produces real files in one folder for that piece of work, using the strongest model your key allows. |
| Check | Automatic checks (missing or empty files, broken links, invalid code or data), then a tester who reviews the result, including pictures of what was drawn. |
| Fix | Problems go back to the builder and are checked again, up to the rounds you set. |
| Deliver | One folder, in the place you named, or in the office folder from Settings, with a README and the QA report. |
A front desk that keeps your rules
Official channels
WhatsApp through Meta's official Cloud API, Telegram through a bot, Messenger and Instagram through Meta's webhook. No unofficial automation that could get a number banned.
Numbers by XIRO, words by AI
The AI writes the reply, but XIRO itself works out the prices, totals, hours and limits from your settings. An order is confirmed only within your limits.
Customer text is just text
Messages are treated as information, never instructions. "Make it free" changes nothing.
You stay in charge
Complaints, orders over your limit and requests for a person are handed to you. You can take over any customer and hand them back later.
What it connects to
| Service | Used for | Needs |
|---|---|---|
| Google Gemini | Voice conversation and AI work | Your Gemini key (free tier available) |
| Ollama | Local models for private, typed work | Ollama installed on the computer |
| WhatsApp Business | Order desk messages, voice notes, photos | A business number on Meta's Cloud API and a public web address |
| Telegram | Order desk | A bot token |
| Messenger & Instagram | Order desk (Instagram is text only) | A Meta app connected to your page |
| Google Calendar, Gmail, Drive, Maps, Meet | Your schedule, mail and files | Signing in with your Google account |
| Smart home & watches | Lights, plugs, cameras, notifications | A supported device on your network |
| Your phone | A remote control over your own Wi-Fi | Pairing by QR code; encrypted connection |
What it needs to run
| Minimum | Recommended | |
|---|---|---|
| Windows | Windows 10 | Windows 11 |
| Memory | 8 GB | 16 GB, or 32 GB with local models |
| Disk | 3 GB | 15 GB, since local models are 4–9 GB each |
| Audio | Microphone and speakers | A headset, so XIRO never hears itself |
| Camera | Optional | Needed for face unlock and camera features |
| Graphics | Not required | A GPU with 6 GB or more makes local models fast |
| Internet | Needed for voice and cloud models | Local models work offline once downloaded |
| Admin rights | Not needed | It installs just for you |
One licence, three devices, updates for life
Activation
Sign in with Google, or paste your key, once on each computer. Up to three at a time. Free one up in the licence portal whenever you replace a PC.
Tied to your device
Each activation is cryptographically signed and tied to that computer, so a licence copied to another machine doesn't open there.
Works offline
XIRO checks in now and then, and keeps working for two weeks between checks if you're offline.
Lifetime updates
New versions are offered inside the app and install in one click, at no cost.
XIRO ships as compiled native code, so your copy contains no readable program source.
5,100+ tests, and what they protect
- Refusals. A password on the clipboard is never sent to a cloud model. Private Mode blocks the camera but never blocks stopping it. A plan can't approve its own destructive step.
- Truth. An office colleague only shows as working while a real job runs, and the order desk's totals always match your price list.
- The screens. Every panel is drawn in the tests exactly as the app draws it, so a broken screen is caught before you see it.
- This website. Every action listed here is checked against the actions XIRO actually has.
What we don't claim
Voice uses the cloud
Spoken conversation goes through Gemini with your key. Only typed work can be fully local.
Files aren't separately encrypted
Your data is protected by your Windows account and any disk encryption you use. The face profile is encrypted, and the vault is a passphrase lock on access.
Skills you add run with your access
A skill you install is software like any other, which is why installing one asks every time.
No outside audit yet
No third-party security audit or certification has been done so far.
Nothing on this page matches that.
